Between the offer letter and the first day: documents, checks and delays
The offer letter is not the finish line. For a few weeks it is a set of conditions, and most of them are about paperwork you already have.
An offer is conditional until you join. What background verification checks, which documents to keep ready, and what to do when the joining date moves.
Collins Aerospace, part of RTX, says it in its listings: all India positions require a background check, which may include a drug screen. Hitachi Energy lists what its pre-employment checks may cover: employment history, education, criminal records and other relevant information. GlobalFoundries makes every offer conditional on background checks and, where applicable, medical screening. WSP warns candidates that everything they upload must be accurate, both for WSP and for its verification partner.
Of the 494 job descriptions on our site on 22 October 2026, ten mentioned background verification at all. The rest leave it for the offer letter, which is where most freshers first meet it, usually in a sentence that starts with "this offer is subject to". The weeks after that sentence are quieter than the interviews and still decide whether you join.
What usually happens, in order
- The call or email
HR tells you that you have been selected. Nothing is binding yet, on either side. Ask when the written offer will come.
- The offer letter
Read the conditions and the acceptance deadline before the salary table. Some offers lapse if not accepted within a few days.
- Verification forms
A link from the company or its verification agency asks for your education, addresses, any previous employment or internships, and sometimes references.
- Document upload
Scans of mark sheets, the degree or provisional certificate, identity and address proof, photographs and bank details.
- Checks run
The agency confirms your education with the university or board and may confirm your address, sometimes with a visit. You usually hear nothing unless something does not match.
- Joining confirmation
A date, a location and a list of originals to bring. Until this arrives, treat the joining date in the offer letter as provisional.
Reading the conditions in the letter
Phrases you are likely to see, and what they mean for you
- Subject to satisfactory background verification → The offer can be withdrawn if what you declared does not match what the agency finds. Accuracy matters more than impressiveness.
- Subject to completion of your degree with no pending backlogs → Your final result is part of the deal. A backlog in the last semester can delay or cancel the joining.
- Your date of joining will be communicated separately → There is no date yet. Do not turn down other options on the strength of this letter alone.
- Subject to medical fitness → A pre-joining health check, usually routine. Some employers, as the RTX listings say, include a drug screen.
- Please accept within N days, failing which this offer stands withdrawn → A real deadline. If you need more time, ask for it in writing before the deadline and never after.
- You will be required to sign a service agreement → A bond or training-cost clause. Ask for the agreement itself before accepting and read it in full.
What verification checks, and what fails it
Typical checks for a fresher. Each employer chooses which ones it runs.
| Check | How it is usually done | What commonly causes a problem |
|---|---|---|
| Education | Confirmation from the university or board against your certificates | Dates or marks on the form that differ from the records, an unrecognised institution, a certificate that does not verify |
| Identity | Matching your ID documents with your details | Name spelled differently across documents, without an explanation |
| Address | Document check, and sometimes a visit or a call | An address you no longer live at, with nobody there who knows you |
| Internships or previous jobs | Contacting the organisation you named | Dates stretched, titles upgraded, or an organisation that cannot be reached |
| Criminal records | Checks of available records, where the employer runs them and the law allows | Rare for freshers; disclose honestly if a form asks |
Notice what fails most often: not a missing qualification, but a mismatch between the form and the record. A name spelled one way on the degree and another on the PAN card, an internship listed as three months that ran for six weeks, a passing year rounded to make an eligibility line. Fill the forms from your documents and skip memory, and explain any genuine mismatch in the remarks box before anyone asks.
When the joining date keeps moving
In some hiring seasons, large employers issue offers months before they have projects ready for the new joiners, and joining dates slide. The offer is usually still valid. The waiting is still yours to manage, and the cost of waiting falls on you and spares the company.
Handling a delayed joining date
When follow-up can make sense
- Ask HR once a month, politely, for the expected joining window, and keep their replies.
- Keep applying and interviewing elsewhere until you have a confirmed date in writing.
- Use the gap for something you can show: a certification exam, a project, a short paid role.
- If another offer arrives, compare them openly and decide; tell the first employer promptly if you withdraw.
Be careful about
- Turning down a confirmed offer because of a provisional date on another.
- Paying anyone who promises to speed up your joining. Companies do not sell joining dates.
- Accepting a short contract with a long notice period that would stop you joining when the date comes.
A delayed offer is still an offer, and it is still not a job until you have a joining date and an employee ID.
Scan these now, while you are waiting
- 10th and 12th mark sheets and pass certificates
- Every semester mark sheet, plus the consolidated mark sheet if your university issues one
- Degree certificate, or the provisional certificate until it arrives
- PAN card, Aadhaar or passport, and one current address proof
- Internship certificates and offer letters for anything you list on your resume
- Two recent passport photographs as image files
- A cancelled cheque or bank passbook page for salary details
Name each file plainly, for example 12th_marksheet_2021.pdf, and keep them in one folder in your email or cloud drive. Verification portals often ask for the same document twice in slightly different forms, and on joining day HR will ask for originals of exactly this list.
